Custom GPT: Build a Branch Management Assistant for Weekly Workflows
What This Builds
You'll build a Custom GPT pre-loaded with your branch's voice, competitive positioning, LO team context, and typical workflow content needs. Instead of re-explaining your situation every week, this GPT already knows you, your company, your market, and your audience. Open it every Monday, run your content requests, and get results that sound like you.

- Your Content Brief document (from Level 3 guide)
- 3-5 examples of your best Realtor emails and social posts
- 1.5-2 hours for initial build; ongoing updates are quick
The Concept
A Custom GPT is a version of ChatGPT that you've configured once with your specific instructions and examples. Every conversation starts with ChatGPT already knowing your branch, your voice, and your goals — like having a personal content writer who knows your business inside-out. You pay once (your Plus subscription), configure once, and use it forever.
Build It Step by Step
Part 1: Gather your materials (20 minutes)
Collect these before you start building:
Your Content Brief (from Level 3 guide — or create a new one with: your name, company, market, target audience, top 3 differentiators, typical loan programs)
Voice samples — copy 3-5 emails you've sent that sounded great. These train ChatGPT to write in your style.
Your competitive positioning — How are you different from big banks? Why do Realtors work with you?
LO team context — How many LOs, what they specialize in, what your branch culture is
Compliance guardrails — Note any topics to avoid in marketing (APR disclosures, rate guarantees, etc.)
Part 2: Create the Custom GPT (30 minutes)
- Go to chatgpt.com → click Explore GPTs in the left sidebar → + Create (top right)
- You'll see a split screen: Configure (left) and Preview (right)
- Click the Configure tab
Name and description:
- Name: "[Your Name]'s Branch Management Assistant"
- Description: "My personal assistant for weekly branch content, coaching, and management tasks"
Write the Instructions (most important step): Paste this template into the Instructions field, customized with your details:
You are the branch management assistant for [Your Name], a mortgage branch manager at [Company] in [City, State].
ABOUT THE BRANCH:

Help me create, refine, and improve content for:
- Weekly Realtor market update emails
- LinkedIn and Facebook social posts
- LO recruiting outreach messages
- Coaching conversation frameworks
- Realtor partnership presentations
- Team meeting agendas
MY VOICE:

COMPLIANCE NOTES:
- Never include specific rate quotes in marketing content
- Always include [your NMLS number] at the bottom of marketing emails

- Rate-related content should say "rates are subject to change"
ALWAYS:
- Match my voice based on the voice samples uploaded
- Ask me for the current rate environment if it's not in my request
- Flag anything that might need compliance review
Upload your voice samples:
- In the Knowledge section, click + Add content
- Paste your 3-5 best email examples
- Add a note: "These are examples of my writing voice — match this style"
Add conversation starters:
- "Draft this week's Realtor market update email"
- "Help me prepare for a coaching conversation with an underperforming LO"
- "Create a 4-week social media calendar"
- "Build a Realtor partnership presentation outline"
Click Save (top right)
Part 3: Test and calibrate (30 minutes)
- Click the Preview tab — you'll see your Custom GPT interface
- Test with: "Draft a Realtor market update email. Current 30-yr rate: 6.75%. News: Fed minutes suggest no cut until Q3. Make it 150 words, optimistic tone."
- Compare output to your best existing emails — does it sound like you?
- If not, update Instructions: add more specifics about your voice, or add more examples to the Knowledge base
Real Example: Monday Morning Content Session with Your Custom GPT
Setup: Your Custom GPT is built and loaded with your branch context.
Input (Monday 8am, 20 minutes total):
- "This week's rate is 6.8%. Fed held rates. Write my Realtor update email."
- "Create 3 social posts for this week — topics: buyer's market timing, VA loan tips, team win."
- "I have a coaching call with LO Davis at 2pm — she's doing 3 loans/month, target is 6. Give me a 20-min conversation framework."
Output: Three pieces of ready-to-use content that sound like you, reference your market, and use your voice — generated in 15 minutes.
Time comparison: Without the Custom GPT, this took 90-120 minutes of writing and thinking per week.
What to Do When It Breaks
- Output doesn't sound like me → Add more voice sample examples to the Knowledge base; be more specific in the style description in Instructions
- It forgets my branch context → Your Instructions should cover this — check that they're being loaded (start a new conversation and ask "What do you know about my branch?")
- Compliance risk in output → Update Instructions with more specific guardrails; your compliance team may want to review your instructions before going live
Variations
- Simpler version: Use a Claude Project instead — same concept, free tier available, slightly different interface
- Extended version: Add a second Custom GPT specifically for LO coaching — load it with your coaching philosophy, common LO performance issues, and coaching frameworks
